NIGERIA / IMPORTER PREPARATION GUIDE
Your next vehicle order.
Prepared for Nigeria.
A practical checklist for dealers, importers and fleet buyers sourcing new or used vehicles from China. Start with a clear purchasing brief, then agree the vehicles, evidence, documents and handover.
What to prepare before requesting a quotation.
You do not need every answer on day one. Share what you know and flag what still needs checking.
Your business and import team
Company name, buyer role, business contact and the importer / consignee that will receive the shipment. Identify your Nigerian clearing agent and authorised dealer bank early. Share sensitive registration or banking documents only through an agreed secure channel.
A vehicle purchasing brief
Target brands and models, new or used, acceptable model years, quantity, powertrain, steering layout and essential equipment. For used vehicles, specify mileage limits, acceptable condition and your policy on accident or repair history.
Destination and timing
Destination port and final delivery city, preferred shipment method if known, target arrival period and whether you can accept split deliveries. Confirm the receiving arrangements with your local agent.
Budget and commercial scope
Target vehicle budget, currency, quantity and whether you want vehicle-only, origin-side export or a freight-inclusive quotation. Keep a separate allowance for Nigerian duties, taxes, port, clearance, storage and inland delivery costs.
Import readiness
Ask your Nigerian bank and clearing agent to verify importer registration, tax / trade identifiers, the applicable Form M and PAAR process, vehicle eligibility and any permits or conformity requirements before shipment. Check the exact VIN, age, condition, steering and classification; do not rely on a generic model name.
Local use and after-sales
Confirm fuel or charging availability, connector and electrical compatibility, battery checks for EVs / hybrids, diagnostic capability and parts support for the exact version. Agree your inspection and acceptance criteria before paying.
One sourcing conversation. Clear work on both sides.
Export Team can work with you on the following scope. The quotation identifies the services included, third-party arrangements, exclusions and costs before you commit.
Vehicle sourcing & comparison
Review your brief against our supplier network and prepare a focused shortlist, with exact versions, new / used options, quantities and availability to be reconfirmed.
A model comparison and order-specific vehicle schedule.
Vehicle evidence & inspection coordination
Agree the identity checks, dated photographs, video and inspection scope required for the proposed vehicles. For used vehicles, discuss mileage, condition and recorded repair information; for EVs, agree the available battery evidence.
An agreed evidence checklist and inspection results where commissioned.
Quotation & transaction preparation
Set out the contracting entity, vehicle price, service scope, currency, quote validity, payment milestones, acceptance and discrepancy handling. Confirm the bank beneficiary independently.
A written quotation / proforma invoice and proposed order terms.
China-side export & shipping coordination
Coordinate the agreed origin-side preparation, export documentation and transport handover with the relevant providers. Review freight options, insurance scope and document drafts where included.
An agreed shipment plan, document checklist and handover updates.
Which documents come from whom?
Build the shipment document list with your bank and clearing agent before booking. Names, addresses, VINs, values and shipment details must agree across the final documents.
| Document / information | Responsibility and preparation |
|---|---|
| Buyer and consignee details | You provide the legal company, receiving party, contact and import-agent details. Your local advisers confirm registration and tax / trade requirements. |
| Proforma invoice / order confirmation | We prepare the agreed commercial proposal and vehicle schedule. You check the consignee, model / version, quantity, values and scope before confirmation. |
| Form M and PAAR | Your Nigerian importer, authorised dealer bank and clearing agent manage the applicable process with the authorities. We supply the agreed exporter-side commercial and vehicle information to support it. |
| Commercial invoice and vehicle / packing list | We coordinate the seller / exporter documents within the contracted scope, including vehicle identifiers and shipment information. Your agent confirms required format and consistency. |
| Bill of lading and insurance | The carrier issues transport documents; the insurer issues any insurance certificate. We coordinate drafts and copies where shipping / insurance is included. You approve consignee, notify party and coverage details. |
| Origin, export and regulatory documents | Agree the applicable origin / export records and any product conformity or permits for the particular vehicles. Relevant authorities or accredited providers issue official certificates; Ortus does not replace them. Confirm SON / SONCAP applicability with your agent and the responsible body before loading. |
Four checkpoints before the vehicles move.
Before you commit
Approve vehicle identity / version, new or used condition, inspection scope, contracting company, quotation inclusions and bank beneficiary.
Before loading
Your importer confirms the required pre-shipment approvals and import readiness. Resolve document discrepancies and obtain the agreed inspection / acceptance evidence.
Before arrival
Review final invoice, vehicle list, bill of lading and applicable certificates with your clearing agent. Prepare the customs assessment, local payments and receiving arrangements.
At handover
Reconcile VINs, quantities, condition and the document pack. Record any discrepancy promptly and follow the agreed claims and after-sales process.
